The video conferencing feature is essential in the day-to-day of any company, and marketing agencies are no different. Whether it’s for closing new deals and internal meetings or maintaining general customer relationships, video calls are here to help.
After all, reducing travel expenses and, consequently, the cost of acquiring clients can be interesting for any company, isn’t it? In addition, digital agencies have the responsibility to bring digital culture to their clients (they won’t go out there doing a briefing on paper and pen!).
But to make a good videoconference and maintain the quality of service with your customers, you need to master the tools available on the market!

Are you familiar with Zoom Meetings?
Zoom is a great feature for both simple meetings (between just two people) and larger video conferences. Here at RD, we held monthly team meetings with more than 70 people. In times of home office, the tool has helped us a lot.
The platform stores meeting recordings in the cloud, and they can be automatically sent to your email. You can also use it to send group messages, via chat, and to share screen online and wirelessly (it is worth noting here that this functionality applies to Windows, Mac, iOS, Android, BlackBerry, Linux, Zoom Rooms and H.323/SIP).
Another interesting feature is that you can add a Zoom extension to Google Calendar and already add the meeting links in the invites that are created directly in your calendar.
And the best part is that the app has a free version too. However, in this version, the duration of the meetings has a maximum period of 40 minutes. But you can contract other plans with unlimited duration.
Zoom features go beyond video meetings
What makes Zoom so special is not just its good usability and high definition video streaming. There are other features that go further and bring great value to the platform.
1. Conduct Webinars
The Zoom Video Webinar is a tool to host live video conferences. You can use it to broadcast meetings in real-time and do lives, for example. But it is important to note that this feature is only available in the pro version of Zoom. When choosing your plan, you have two options:
- Conduct broadcasts with up to 100 interactive participants (ideal resource for content formats such as panels, for example);
- Choose a package ranging from 100 to 10,000 broadcast participants, but for viewing only.
Another cool point of the platform is that it allows you to broadcast your event on YouTube or Facebook, making it possible for even more people to see it.
You can even interact with your audience throughout the broadcast. Zoom supports different ways of communicating with the audience: chat, questions and answers and polls.
2. Attend a meeting by phone
When we talk about Zoom, we immediately think about video. But you can also join a meeting via audio using a regular phone or cell phone.
This feature is useful when you don’t have a microphone on your computer, don’t have a smartphone, or can’t connect to a network via notebook video and audio. If you’re on the road, for example, this is a good option.
Zoom has phone numbers available for all countries where it is present and on all plans. For subscribers of audio plans, Zoom also has toll free and additional numbers. Just stick to the allowed dial-in number as it depends on the host’s subscription and audio settings.
See Zoom’s list of international dialing numbers. If a number is not listed or has asterisks (***) in place of some numbers, it means that number is not available on the account you are currently logged in to.
Step by step to use Zoom
Below we have prepared a tutorial for you to start using the platform in your agency.
1. Create an account
First of all, you need to register within the Zoom website. To do this, follow these steps:
- Access the home page;
- Click on the “Register, It’s Free” button ;
- Register your e-mail, preferably the professional one;
- Open the confirmation email that Zoom will send in your inbox and confirm the operation;
- Complete the registration with your personal data.
2. Choose your plan
Zoom is an accessible platform, and in addition to the free version, it offers different types of business plans. To choose the option that best suits your business,
In short, the free version has no restrictions on the duration and volume of meetings with two people, but between three or more participants it limits the videoconference time to 40 minutes. In addition, it does not offer detailed call reports.
In the Pro version, the number of participants and the duration of meetings increase, respectively, to 100 people and 24 hours. This option is interesting as the user gets access to administrator, service and support resources, as well as 1GB of cloud storage.
3. Start a meeting
When the platform is started, two options are presented: You can press the button “Join a Meeting” or “Host a meeting ”.
To just join a meeting you have been invited to, you must click on the “Join a Meeting” option.
If you do not have access to the link that takes you directly to a meeting you were invited to, when you click on “Join a Meeting”, you must enter the “Meeting ID”. The ID will always be the last number of the link. For example https://cloudbeds.zoom.us/j/ 012345678. Remember that when joining the meeting, you must confirm your participation with audio by clicking “Join with Computer Audio”.
If you want to create or schedule a meeting, select the “ Host a meeting ” option and log in to your account.
4. Share the screen
To share your screen during a videoconference, both the host and other meeting participants can click “Share” and select the option they want to share (eg, entire desktop, one presentation, one page only, etc).
The host has the possibility to block screen sharing to other participants. After selecting the “Share screen” option, the option to select which window you want to share will appear: the desktop, a presentation, etc.
5. Invite new participants
Participants can be invited to the videoconference via email, SMS, social media, and you can also copy the meeting link to send in any way you choose.
6. Change host
It can often happen that one host starts a meeting and then someone else continues in the same room. To do this, you can change the meeting host under “Make Host”.
One flaw of the app is that you can only create one meeting at a time. If you leave a meeting that is still in progress, you cannot create a new room at the same time.
